Video privacy and access

Updated 2026-07-19

By default, a video is visible to everyone in your workspace. When some content shouldn't be — compensation walkthroughs, client-specific material — per-video access controls narrow the audience.

Restricting a video

  1. Open the video's page and find the Access controls section (visible to owners, admins, and editors).
  2. Turn on Restricted access.
  3. Add one or more audience tags (for example managers, sales-team).

With restriction on, only members whose profile carries at least one matching tag can see the video — in the Library, in search results, and in Ask AI answers. Workspace owners and admins always retain access, so restricted content can't become orphaned.

Audience tags

Tags are assigned to members from the Team section. A member can carry any number of tags, and one tag can gate any number of videos — so "make all manager content visible to a new manager" is one profile edit, not a per-video chore.

Note: Access controls govern workspace members. Sharing a video with someone outside the workspace is a separate, explicit act — see Sharing videos.

FAQ

Does restricting a video hide it from Ask AI?

Yes — for anyone without a matching tag, the video is invisible everywhere: Library, search, and AI answers.

Who can change access controls?

Workspace owners, admins, and editors. Viewers can't change visibility.
